Service Appointment Coordinator

Missisauga Volkswagen (division of the Zanchin Automotive Group) is currently looking for a Service Appointment Coordinator to join their team. We are in search of Customer Service Experts that exhibit exceptional Customer Service Skills. Our company provides an excellent work environment and provides the tools necessary to be successful and grow with our expanding auto group. The ideal candidate will have experience in a dealership service environment.

Responsibilities:

  • Greets all customers promptly.
  • Schedule service appointments with customers through e-mail, in person, Company website or over the phone.
  • Contact customers daily to confirm upcoming appointments.
  • Inform customers of outstanding Recall/warranty notices.
  • Inform customers of maintenance required for vehicle
  • Answer all customer inquiries, provide quotes on services required.
  • Follow-up with customers who miss scheduled appointments.
  • Maintain and update customer and vehicle database.
  • Respond to customer needs and assist Service Advisor in communicating vehicle problem(s).
  • Answer the service telephones when the Service Advisors are busy; maintain a pleasant telephone manner and assist customers as required.
  • Update customers on vehicle status and notify them promptly when their vehicle is ready.
  • Send service reminders to customers.
  • Create/close work orders, when necessary.
  • Explain service invoice to customers.
  • Arrange re-call appointments with customers.
  • Support cashier function, when necessary.
  • Cover Receptionist break, when required.
  • Attend all department meetings.
  • Follow all company and manufacturer policies, directives and procedures.
  • Perform any other duties as required

Qualifications:

  • 1-2 year’s previous working experience as a customer service representative
  • Working knowledge of Automotive Software
  • Valid Driver's License with clean driver's abstract
  • Must be able to work evenings and on Saturday's as scheduled
  • Able to drive both manual and automatic transmission is an asset
  • Able to work well both in a team environment and independently
  • Highly organized and attention to detail
