We are looking for an Internal Advisor/Warranty Administrator!

Zanchin Auto Group is currently looking for an Internal Advisor/Warranty Administrator to join their growing team in Richmond Hill. Are you an over-achiever driven to perform, if you thrive in a fun. high-pressure, high reward atmosphere, we would like to meet you!

Responsibilities:

  • Greet all customers promptly or, if unavailable, acknowledge their presence
  • Oversees the coordination of the internal department (new & pre-owned vehicles) with the service department opening and closing internal work orders
  • Prepares the “Get Ready” for new and used vehicles
  • Inspect each vehicle prior to customer delivery. Inform Sales Consultant once vehicle is ready for delivery
  • Verify service concerns; preferably accompany the customer to their vehicle to perform a walk-around inspection and obtain an accurate odometer reading.
  • Contact customers daily to confirm upcoming appointments, verify/update customer data, capture email address
  • Answer inbound calls with customer inquiries/appointment dates and times
  • Check frontline Dealership Service Appointment Calendar and properly schedule appointments
  • Outbound calling to confer with customers in order to provide information about recommended maintenance and services, warranty Recalls or Campaigns, overdue for service, service reminders, special order parts, missed appointments
  • Respond to email inquiries quickly and efficiently
  • Respond to customer needs and work together with frontline Dealership Service Manager/Advisor for exceptional customer experience
  • Maintain a pleasant telephone manner and assist customers as required
  • Act as initial contact for customer complaints, and get appropriate individuals involved to resolve matters 
  • Serves as back-up Receptionist. Covers Receptionist breaks.
  • Follow all company and manufacture policies, directives and procedure
  • Prepare, process, record and reconcile warranty claims as per manufacturer policies & procedures
  • Maintains complete and accurate records for warranty claims
  • Forward warranty claims for defective parts to the factory and distributors
  • Arranges for parts to be shipped back to factory or distributor, or to be scrapped
  • Follow up and re-submit unpaid claims returned by manufacturer
  • Keep number of outstanding claims to a minimum
  • Maintain schedules for factory warranty, extended warranty, PDI and ensure balances remain current
  • Make outbound customer satisfaction, confirmation, recall notice, notice of service due and follow up calls
  • Log customer information and purify database
  • Ability to work quickly, multitask
  • Computer Proficiency
  • Demonstrated customer service skills
  • Demonstrated communication and interpersonal skills
  • Ask the Customer questions to uncover vehicle needs and directs calls appropriately
  • Ensure that service consultants receive messages promptly
  • Make service appointments if service consultants are unavailable, route appointment information to the appropriate service consultant
  • Arrange alternative transportation for Customer when required (Shuttle or Car rental)
  • Provide Customers with quotes on vehicle services
  • Perform any other duties as assigned by management

Qualifications:

  • 2-3 years’ office dealership experience or previous experience as a Internal Advisor/Warranty Administrator
  • Familiarity with automotive terminology and manufacturer warranties and procedures, an asset
